How we handle your personal data when you use this site and take part in the Formula E Creator Challenge.

Who we are

The Challenge is operated by Bionic Tribes Ltd, 127 Fortis Green Road, London, N10 3LX, United Kingdom (company no. 16502274). Bionic is the Promoter and the data controller for your personal data. If you have questions or requests: privacy@bionictribes.com.

What we collect and why

When you register: We ask for your name and email address. We use these to run the Challenge, by sending you a link to the GEN4 Asset Kit, competition updates and deadline reminders. These are service emails that come with registering, not marketing.

Legal basis: performance of a contract (the terms you accept when you register), and our legitimate interest in running the competition properly.

If you opt in: Tick the box and we'll keep you posted about Bionic events beyond this Challenge. That is based on your consent and you may unsubscribe at any time without effect on your entry.

If you enter: We also receive your entry information from FilmFreeway — your film, tool declarations, contact and country information — and use this to confirm eligibility, judge fairly, and arrange the premiere and any prize. If you're shortlisted or win and we need anything more from you, we'll tell you at the time.

Legal basis: Performance of a contract, and our legitimate interests in fair judging and fraud prevention. UK advertising rules require us to make winners' surnames and counties or countries available on request; you can object to this by contacting us.

Two things we never do: Sell your personal data, or use it — or your film — to train AI models.

This site isn't directed at under-18s, and we don't knowingly hold their data.

Who else is involved

Service providers run our registrant database, email, automation and website hosting. They act only on our instructions, under contracts that protect your data. Where a provider is outside the UK, we use UK-approved safeguards such as adequacy decisions or standard contractual clauses.

FilmFreeway handles entries directly, as a separate company under its own privacy policy; we receive your entry information from it to judge and run the Challenge.

Formula E receives finalist and winner details only where needed for the premiere, prizes and publicity.

Google Cloud provides the tools used in the Challenge. Where Google supplies part of a prize, we share the winner's details with them only so far as it takes to arrange it. Otherwise they receive nothing from us, and anything you do with Google's tools happens directly between you and Google, under Google's terms.

We otherwise share data only with our professional advisers, or where the law requires it.

How long we keep it

We keep registration and entry records for as long as we need them in connection with the Challenge. This includes judging, prizes and the winner-publicity period set out in the Rules but we don't hold personal data we no longer need. If you've opted in to hear more from Bionic, we keep in touch until you tell us to stop.

Your rights

You can ask us to access, correct or delete your data, restrict or object to our use of it, or port it. You may also withdraw your consent at any time. If so, email privacy@bionictribes.com and we will respond within one month. If you're unhappy with our answer, you can complain to the Information Commissioner's Office (ico.org.uk) although we'd welcome the chance to fix it first.

Cookies

We keep cookies to a minimum. Some are strictly necessary to make the site work (e.g. session or security) and can't be switched off.

We'd also use them to see how the site is being used so we can improve it. These cookies are only set if you accept them when you first visit, and you can change your mind at any time through our cookie settings. Declining them won’t affect anything else on the website.

Embedded content, such as the FilmFreeway entry button, may set its own cookies under its provider's policy when you use it.

Changes

Any changes appear on this page. If there are any significant ones, we'll email registrants about them.
